Privacy Policy

Northline Systems Inc. operates this website. We are responsible for the personal information under our control, including information handled by service providers acting on our behalf.

We collect only what you give us and what a web server necessarily records.

Information you submit

When you send a quote, parts or catalogue request, we collect your name, company, work email address, and optionally your telephone number, city and province, product interest, catalogue reference, part numbers and quantities, the components on your request list, your project description, the quantity you need and your required delivery date.

Files you attach

If you attach a drawing, CAD file, sketch, photograph, parts list or bill of materials to the request form, that file is emailed to our sales desk so we can quote against it. We do not store uploaded files on this website: they are passed to our email provider as the request is sent and then exist only in the mailbox that received them, under the same retention period as the request itself. Do not attach anything you are not willing to send us by email.

Information collected automatically

Our hosting provider records standard server logs: IP address, browser user agent, the page requested and the time of the request. These logs exist to keep the site running and secure. We do not use them to build a profile of you.

What we do not collect

We do not ask for payment details, we do not run advertising or cross-site tracking technology, and we do not buy contact lists.

We use the information you submit to:

• answer your question and prepare a quotation or parts order;
• confirm the configuration of a system with an application engineer;
• send you the catalog or documentation you asked for; and
• keep a record of the enquiry for warranty, service and audit purposes.

We do not use your information for any other purpose without asking you first.

Submitting the request form is your consent for us to use the details in it to respond to you. That consent is limited to your enquiry.

You can withdraw it at any time by writing to sales@servith.com. Withdrawing consent does not affect anything we did while the consent was valid, and we may still need to keep records of a completed transaction.

We do not send marketing email or newsletters, and we do not add the addresses we receive to a mailing list. We email you only about the request you sent: an answer to your question, a quotation, an order confirmation, or a follow-up on that enquiry. If you would rather we stopped following up, write to sales@servith.com and we will.

This site sets no advertising or analytics cookies, and we do not use a tracking pixel. Fonts are served from our own domain, so loading a page does not call out to a third party.

There are two exceptions, both of them on a single page.

The location map on the contact page is a Google Maps embed, so when you open that page your browser contacts Google directly, and Google may set cookies and see your IP address. We receive nothing from that request ourselves. Google's handling of that data is governed by Google's own privacy policy.

The request form is protected by Cloudflare Turnstile, a check that tells a person from an automated script without asking you to solve a puzzle. Unlike the map above, it is not loaded when the page opens: your browser fetches it from Cloudflare only once you start filling the form in, so opening the contact page for the address or the phone number contacts Cloudflare not at all. When it does load, Cloudflare sees your IP address and browser and may store a short-lived token so the check does not have to repeat itself. It exists to keep spam off the form; Cloudflare's handling of that data is governed by Cloudflare's own privacy policy.

We do not sell, rent or trade personal information. We disclose it only:

• to service providers who process it on our behalf, such as our website host, the provider that delivers the resulting email, and any system that routes form submissions to our sales desk, under contracts that limit them to that purpose;
• to the manufacturer of a product you have asked about, where a technical question has to be answered at source; and
• where the law requires it.

Some of these providers store data outside Canada, including in the United States. While it is there, it is subject to the laws of that country, and may be accessible to that country's courts and authorities.

Enquiries that do not lead to an order are kept only as long as they are useful for follow-up, and reviewed periodically. Records tied to a quotation, an order or equipment we have supplied are kept for 7 years after the last transaction, so that we can support the machine and meet tax and warranty obligations.

The site is served over HTTPS. Access to enquiry records is limited to the staff who need it to do their job. Our providers are chosen on their security practices as well as their function. No system is perfectly secure, so if a breach creates a real risk of significant harm, we will notify affected individuals and the Privacy Commissioner as PIPEDA requires.

You can ask us to:

• tell you what personal information we hold about you and how we have used it;
• correct anything that is wrong or out of date;
• delete information we no longer need to keep; and
• stop following up on your enquiry.

Write to our Privacy Officer at sales@servith.com or at the postal address in section 1. We respond within 30 days. We may need to verify who you are before releasing information.

If you are not satisfied with how we handled your personal information, tell us first so we have a chance to fix it. If you are still not satisfied, you can complain to the Office of the Privacy Commissioner of Canada at 1-800-282-1376.

We update this policy when our practices change. The effective date at the top of the page tells you which version you are reading. Material changes will be flagged on the site, and where the change affects how we use information you already gave us, we will ask for your consent again.
